We’ve recently premiered our online booking system, it’s been designed for ease of use and to help take the hassle out of back and forth communication when booking your appointments. Simply select your listing address, desired services, preferred date & time, submit and you will receive a confirmation email saying your Order has been placed. Later that night you will receive a confirmation email from us to notify you of the exact time of the shoot. This means your appointment is now scheduled. We also send a reminder email 24 hours before the appointment to make sure everything is good to go.

We prioritize a quality & fast delivery the morning after your appointment but to reduce stress on our system, if you can plan the shoot 2 days before listing, that is always greatly appreciated.
We recommend booking 2-4 days in advance during normal periods and 4-7 days in advance during peak season (March – July).
We will always do our best to accommodate last minute bookings when they come up.
We do our best to approve and schedule all booking requests with your preferred time as soon as possible once they are received. If there is a scheduling conflict with your requested time, we will reach out and work out an alternate time.
The amount of time required for a shoot is highly variable depending size of the property and the services that you ordered. A general guideline to follow is to prepare for at least 1 hour for a basic “Photo Essential” only shoot, and between 1.5- 3 Hrs for more extensive bookings.

When your media is ready, you will be sent a delivery notification email to the preferred email address you provided us in your booking request.
From then on, the listing will be active on your Client Portal along with all your other listings. Your Portal can be accessed at any time through our website.

Marketing templates are available through the “Marketing Centre” on each of your listings. Similar to Canva, you can choose or tweak from pre-made designs, or design your own graphic. Your listing photos and your personal info will automatically load in to the designer. You can swap photos & customize these to your heart’s desire.
Each package comes with these automatically. If you do not require them, it does not reduce the price of the package. You need to log in to your Client Portal and access the listing to have full access to the marketing centre.
On cloudy, raining, or dark days we can digitally replace the sky on each exterior to give a brighter and more colourful look to the photos. We are proud to have the most realistic blue sky replacements available and we make colour & light adjustments to the house / foreground so the house matches it’s new sky!
These come with each package if they are needed but you can request to not include them if you’d prefer.
Property Webpages host all your media in one place so you can have an All-in-One Link to use for “more Photos” On MLS or to post on Social Media. You can add listing details, descriptions, and customize the look of your webpage through “Editor” to match your style and make this a more useful tool for you.

Cancellation Policy
Please understand that we have a large workload and tight appointment schedule everyday. We understand that situations change, and we are happy to work with you as best we can to accommodate your needs, that being said we require that you notify us at least 48 Hours in advance of your scheduled time for a cancellation or rescheduling of your appointment. Cancellation/rescheduling fees are as following:
Within 24 Hours: $75
On site / Same Day: 35% of Package Total (before Tax) – minimum of $75
The reschedule or cancellation request must be submitted to us through the email or phone call (9AM to 6PM).

Payment
Payment is required within 7 days of media delivery to the client, or the stated due date on the invoice. Failure to pay by due date will result in a 3% fee assessed daily. Failure to pay an invoice 30 or more days past due will result in legal action. Timely payment is expected as Inside Out Media does not require payment prior to a shoot as most of the industry does.
Property Preparation
Please make sure the property is ready for your appointment. We are not responsible for cleaning and organizing the property, or any staging or on-site issues. We are happy to make slight adjustments that we feel will improve the final product, however our staff cannot make major staging changes such as moving large furniture, pets or valuables, within reason. It is the agent/owners’ responsibility to make sure the property is clean and organized. If in doubt, please take a look at our house preparation checklist here.
Clients are responsible for the following when the home is to be photographed:
• That the property is available to the photographer at the confirmed time of the appointment.
• That the property is prepared to be photographed and is staged and configured completely prior to the photographer’s arrival
• That the owners will remove or contain any pets.
The photographer will photograph the property “as-is”, whatever the condition of the property when the photographer arrives.
The photographer will not be required to wait for longer than is reasonable while the property is made photo ready.
If the client, agent or seller is not pleased with the resulting photographs of the property because of the condition of the property, contents or the property not being ready for photos, the property may be reshot, however, it will be treated as a new photography session and will be billed as such.
Should photographs not meet our standards of quality in representing a property, we will reshoot the property at no charge.
It is our policy not to remove, retouch or in any way modify any structure or content of any property using photo editing software from photographs.
This policy may be waived when applied to structures or contents that are not permanent (for example: garbage cans, temporary signs, paint marks) and will be modified before the property is sold. This is to prevent the end-user from being deceived as to the actual condition of the property. Additional fees may apply to such post-production work.
Pets
Please arrange for pets to be relocated during the appointment. Remove all signs of pets (bowls, rugs, pillows, toys). Inside Out Media staff reserves the right to cancel the appointment if animals are not properly contained or relocated.
The client (Agent and Owner) are responsible for any injury or harm that is endured by our staff as a result of pets or animals on the property.
Online Asset Management
Inside Out Media will combine all Photos, Virtual Tours, Floor Plans, Videos and other media into a professional, unbranded web page that includes all necessary navigators and buttons. The web page will be under our Insideoutmedia.ca domain and we are NOT responsible for transferring data to a different website rather than insideoutmedia.ca unless agreed to prior to delivery.
Media Copyrights and Usage
All works produced for the Client may be used by that Client for general marketing associated with the current sale of the photographed property per local MLS rules. Copyright in work (photos, videos, floor plans, and other artistic and intellectual property) shall be owned entirely by Inside Out Media. A license is granted only to the Client and not to any third party. The license is only valid from the time full-payment for services has been made. Client agrees that any usage of the work (photos, videos, floor plans and other artistic and intellectual property) by a third party, including but not limited to architects, builders, stagers, designers, sellers, or buyers is prohibited unless approved in writing by Inside Out Media.
Photos produced for the client may NOT be edited by a third party in any way, either by an external editor or by the client themselves. This includes but is not limited to: overall editing/adjustments, adding filters, adjusting colour changes/contrast, altering exteriors to produce twilight images, altering interiors to include virtual staging or removal of items, etc. Should you wish to have your final products re-edited, please contact your InsideOut Media office.
Canadian Copyright Act (Bill C-11, in force since November 2012).
Canadian photographers are now, by default, the first owners of the copyright of the images they produce, as are illustrators, musicians, painters, and writers with their respective work. This applies to both photographs commissioned and paid by a client, and to photographs taken for non-commercial purposes. Therefore, photographers no longer have to sign an agreement with their Client stating that they are the first owner of the copyright; the Act now guarantees ownership by default.
